Responsibilities and Tasks:
Contract Oversight
- Ensure that operational activities are not initiated until a formal contract has been dispatched or received from the relevant party, with necessary exemptions obtained in the absence of a contract.
- Review trader deal sheets/recaps against the Amicus contract, liaising with traders to rectify any disparities.
- Comprehend and interpret contractual terms and conditions thoroughly.
- Dispatch directives to pertinent parties for executing the final contract and any subsequent amendments.
- Guarantee that no deliveries are made without adequate financial assurances as stipulated in the contract.
- Promptly initiate outgoing invoices or process incoming invoices.
- Nominate vessels as per the traderagreed contract.
- Issue documentary instructions to fulfill letter of credit (LC), customs, and contractual obligations.
- Prepare customs declarations where applicable.
- Engage inspectors for Quality and Quantity (Q&Q) inspections as per contractual mandates and fulfill other requested analyses by traders.
- Handle purchase, sale, and service invoices.
- Oversee storage/terminal management where relevant.
- Gain a comprehensive understanding of the pricing structure for each deal and ensure accurate management of pricing events.
- Acquire a foundational comprehension of hedging strategies and the associated cargo exposure.
- Demonstrate keen commercial awareness in Operations, encompassing volume tolerances, freight economics, demurrage mitigation, and price exposure.
- Facilitate vessel clearance with terminals and counterparties, navigating through Charterers' vetting processes.
- Interpret and understand fixtures where applicable.
- Dispatch directives to vessels regarding voyage orders, appointed agents, and letters of indemnity (LOIs). • Manage all shipping invoices.
- Manage Quality and Quantity claims.
- Address auxiliary claims.
- Coordinate documentation and correspondence with insurance companies in the event of contract execution issues.
- Ensure accurate and timely input of deal details into the system.
- Create operators' files.
- Verify that systemrecorded deals align with final contractual terms.
- Input and update vessel movements, event dates, and Q & Q information.
- Update details for goods invoicing and service costs.
- Verify pricing details for prompt invoicing.
- Timely issuance of outgoing invoices.
- Review and allocate incoming invoices for cargoes and associated expenses.
